GEN AI Internal Access & Learning Policy

Applies to Users who agreed to the internal access and learning policy
1. Introduction
GEN AI is designed to support public servants and reformers through structured learning
resources and AI-enabled tools. To continuously improve the platform and generate lessons for reform
design, the GEN team may access usage information for learning, quality assurance, and platform
development purposes.
By agreeing to use the GEN AI Platform, you grant the GEN team access to the information in your account,
subject to the safeguards described in this Policy.
2. Scope of Access
- Access is restricted to 4 designated Instiglio team members only, with access approved by
Associate Partner
- Access is strictly for internal learning, research, and platform improvement.
- Access focuses on how the platform is being used, including prompts, responses, and general
usage patterns.
3. What GEN May Access
GEN team members may access:
- Prompts submitted to GEN AI (questions, problem statements, instructions).
- AI-generated responses to those prompts.
- Usage trends and interaction patterns (frequency of use, session duration, feature adoption).
- Error and performance logs (e.g., failed responses, timeout errors, latency issues).
- Interaction flow (e.g., the sequence of actions taken in conversations, and points of user
engagement or disengagement).
- Feedback and ratings provided by users (e.g., thumbs up/down, survey results).
- Anonymized demographic metadata (e.g., country of use, institutional role category — if collected at
signup).
4. Confidentiality and Use
- All accessed information will be treated as confidential
- Access is for learning and improvement only; it will not be shared publicly or attributed to
individual users without explicit permission.
- Summaries of learning may be shared in anonymized or aggregated form for reporting or design
purposes.
5. Oversight and Accountability
- Access will be restricted through role-based permissions.
- A log of access activities will be maintained and periodically reviewed.
- Misuse or breach of this Policy by GEN staff will result in suspension of access and
corrective action.
6. Data Retention and Deletion
- Information accessed for learning will not be stored outside the GEN AI system, but could be
seen by parties described under the terms and conditions document.
- Notes and insights derived from access will be anonymized.
- Users may request deletion of their data from GEN AI by contacting [email protected]
